Terms and Conditions 


In order to confirm your booking, please read these terms and conditions and accept them by filling in your name at the bottom of the page.

Please read these T&C’s. They are here to protect both you and us and set out the rights and obligations we both enjoy. It’s important you understand these before you book. If you have any questions please call us on 01572 767 234 or email bookings@lodgetrust.org.uk

Who we are

The Lodge Trust is a Charitable Incorporated Organisation (CIO) registered with the charity commission (Charity number 1161735). We are also a CQC registered Care home for adults with learning disabilities. Our primary purpose is offering a residential home and supported employment and training opportunities for adults with learning disabilities, who express a desire to live in a community which has a Christian ethos.

The Lodge Country Park is a part of The Lodge Trust CIO, and it provides two holiday Log Cabins, a Caravan and Motorhome Club (CL) site and a Camping and Caravanning Club (CS) site. We also have a café, children’s play area, adult gym, picnic area, and a country walkway. Together with our extensive grounds, woodwork, craft and enterprise projects, they provide employment and training opportunities for our residents.

How these terms and conditions apply to our contract

These terms and conditions together with our Data Protection Privacy Policy and where your booking is made via our website our Website Terms of use, together with any emails or other written communication between us, made before your booking was confirmed, sets out the entire agreement between us (the Contract) for your cabin or camping holiday.

Please ensure you and all members of your party read and understand them before making a booking. In making a booking you are agreeing to be bound by them, although this does not affect your statutory rights as a consumer.

This contract and terms are between you and us. You may not transfer your rights or obligations to another person without our written consent. These terms and any dispute that arises as a result of them is governed by English Law. By making a booking you accept this.

Please ensure all the information you give when making the booking is correct. If you notice a mistake please notify us within 24 hours on the above contact details. It’s your responsibility to ensure the booking details are correct.

How to make a booking

We only accept bookings via our website
Bookings are accepted at our discretion and will only take place once we confirm it with an email. This email will be subject to these terms and at this point a contract will be formed between us and you on these Terms and Conditions.

Conditions

By making a booking you confirm

  1. You have read and agree to these terms.
  2. You accept responsibility for payment of the booking.
  3. You are aged over 18 and at least one member of your party who stays in the accommodation / camping pitch for the duration of the booking is over 18.
  4. You will be responsible for any loss or damage caused by you, any member of your party, including children and day visitors and pets where they are allowed.
  5. The maximum numbers of persons must not exceed the number stated in Cabin description. This is normally 4 persons but a fifth person can stay by written agreement from us. In addition, you can have one infant under the age of 2 years in your cabin. A travel cot is available at no extra cost but you must bring your own bedding for this.

 
Duration

  1. Our Cabin bookings are for weekends (Friday-Monday), mid-week (Monday –Friday) or full weeks (starting or finishing on a Friday or a Monday). No refunds will be given should you decide to cut your booking short.
  2. Caravan and Camping bookings can be for any day and duration.
  3. We may have special promotions from time to time which change these times and/or durations. These breaks are also subject to these terms and conditions. No discounts or promotions that may happen from time to time can be applied retrospectively to existing or past contracts.

 
Amenity

  1. The accommodation shall only be used by the party as described on the booking form, unless changes are agreed in writing to us prior to arrival. We have the right to ask any unauthorised persons to leave the site.
  2. This accommodation is for private use only. It cannot be used for any commercial or business purposes.
  3. We request noise is kept to a minimum after 10pm. Inappropriate behaviour, disruption or wilful damage to the site or facilities may result in you being asked to leave immediately. In this instance no refund will be given and compensation for damages may be claimed from you.
  4. Children are the responsibility of their parents or guardians at all times and they must be appropriately supervised.
  5. Leisure or other equipment that is potentially disruptive or presents a safety or privacy issue is prohibited.
  6. All-male or all-female groups are accepted only at our discretion and with our specific permission. The cabins are not suitable for stag or hen groups involving noise after 10pm. To ensure the comfort and enjoyment of everyone at the park, the management has the right to remove any person/s acting in a manner detrimental to the enjoyment of any other person(s).
  7. If any equipment supplied by us fails to work, please advise our Reception Team immediately to allow us to rectify the matter swiftly, thus avoiding any unnecessary inconvenience to you.
  8. The Lodge Trust CIO reserves the right to refuse or revoke any bookings from parties which in our opinion (and at our sole discretion) are unsuitable for the property.
  9. Electricity is provided for Cabin facilities during the holiday. Recharging electric vehicles or batteries contained in them or batteries in any other vehicles or caravans is prohibited.


Prices

  1. Prices vary depending on the time of the year. If your stay falls between two price bands the corresponding price will be charged for the days in each price band. This might need to be adjusted manually if the website applies the lower price for the whole of the stay. You agree to remit the difference in this situation.
  2. Prices include:
    1. The use of the accommodation for the maximum number of guests we indicate.
    2. Electricity. 
    3. Any other amenities or services as described as included in the price of your break as stated on our website.


Payment

  1. Payment is made on booking. The balance must be paid within 8 weeks prior to the holiday commencing. If the booking is made within 8 weeks of the beginning of the holiday then the full amount is payable and no refund is possible.
  2. In the event that payment is not received by such date, you will be deemed to have cancelled your booking at the commencement of the 8 week period.

 
Cancellation

  1. You may cancel your booking without charge within 14 calendar days of making the booking. You must inform us by email at the above address. We will then process a refund within 7 working days of receiving your notification of cancellation. This does not apply if you are within 6 weeks of the commencement of the holiday.
  2. In the event of you cancelling beyond 14 calendar days from your booking date, you are legally liable to pay the full hire charge. In most cases this liability can be covered by insurance. If you do not already have personal insurance and cancellation cover for your holiday, we strongly recommend you do so before making your booking.

 
Log Cabin Accommodation

  1. Log Cabins are available from 4pm on the day of arrival and instructions for access via a key safe outside the cabin will have been sent to you as part of the booking process.
  2. Cabins must be vacated no later than 10am on the day of departure.
  3. The cabins are non-serviced accommodation; it is the hirer’s responsibility to keep the cabin in good order.
  4. Please notify damages or breakages must be notified to us. Accidents happen and we expect some occasional minor breakages during a season for which we would not expect to charge. Significant breakage or damage would however need to be paid for.
  5. The cabin must be left in a clean and tidy condition. We shall be entitled to charge you any reasonable costs or expenses we incur for any breakages or damage or excessive cleaning required following your stay, should you fail to leave the accommodation in a clean and tidy condition.
  6. You agree to permit the owners or their representatives to enter the cabin at any reasonable time to carry out repairs or in emergency situations for the cabin or other parts of the Country Park.
  7. In the event of a cabin becoming uninhabitable as a result of fire, flood, electricity or water supply interruption, boiler failure or acts of God, The Lodge Country Park will endeavour to offer suitable alternative accommodation or a pro-rata refund if no such accommodation can be found. Should the property be unavailable on the holiday date (for example, because of damage caused by the previous occupant) then all monies will be refunded without question. However, no further liability will fall on the owners/representatives. In no event shall the liability exceed the rental paid.
  8. Dogs will only be accepted with specific permission from The Lodge Country Park. Only one cabin accepts dogs and at a charge of £20 per dog will be made. Your dog must not be left unattended in the cabin. Please bring your pet basket with you. The dog must be kept off bedding and other soft furnishings. Dogs must be kept on a lead at all times around the site and Country Park.
  9. Registered assistance dogs will be accepted in our allocated cabin free of charge.
  10. The Lodge Trust has a policy that all individuals who stay in the cabins must be able to self-evacuate from the building in the event of a fire.

 
Camping and Caravan Bookings

  1. Arrival is from 12pm on day of booking and must be vacated by 11.45am on the day of your departure.
  2. Arrivals after 5pm must be notified to us by phone on 01572 767234
  3. We endeavour to book you into requested pitches. However, we reserve the right to site you on to another pitch.
  4. A distance of 8 metres must be kept between caravans.
  5. Chemical disposal points are available. NO wipes, sanitary items etc. must be placed into these points. Blocked drains will result in the closure of the Country Park.
  6. Please respect your neighbours by remaining quiet between the hours of 10pm and 8am.
  7. We do not offer toilets or shower facilities.

 
Pets

  1. Pets, other than dogs, are not allowed on-site at all.
  2. A maximum of one large dog or two small dogs are allowed in our designated cabin (Swallow) and on our caravan/motorhome pitches.
  3. Your dog must never be left unattended in our designated cabin or in any vehicle or caravan on our site.
  4. Your dog must be microchipped (as required by law).
  5. Your dog must be current with all relevant vaccinations.
  6. When exercising your dog on our site it must be kept under control. Please keep the dog on a lead and clean up any fouling without delay. Dogs (other than registered assistance dogs) are not allowed inside our Country Café but are welcome at the seating area outside.
  7. We are in a rural location. Please be aware of the Country Code when exercising your dog and be aware of and check your dog for ticks and other regional or seasonal diseases.

 
No Smoking Policy

  1. There is a strict No Smoking policy inside the Log Cabins, Country Café and Laundry.
  2. Smoking outdoors on the Lodge Trust site is prohibited for insurance purposes and in order to smoke you must leave the site.

 
Barbeques and Fires

  1. Barbecues are not permitted near the log cabins or any other Lodge Trust building, fence or in the Country Park because of the fire hazards. For information as to where you may site your barbecue, please contact Reception. Do not place disposable barbecues directly on the ground.
  2. Fires or Fire pits are prohibited.
  3. Chinese lanterns are prohibited.

 
Country Park

  1. Please observe all the Country Park rules, from time to time in force, as well as any applicable bylaws. Guests should not use or permit the use of the Country Park or any accommodation in such a way as might be or become a nuisance to the neighbours or the Lodge Trust residents.

 
Vehicles

  1. Only one car per pitch or cabin please. Extra vehicles must use the car park behind the cabins you pass on the way in.
  2. Your vehicles and their accessories and contents are left entirely at your own risk. We will not be responsible for any loss or damage from or to any vehicle from any cause whatsoever other than in the case of negligence by our employees.
  3. The site has a strict 5mph speed limit.
  4. Electric or Hybrid vehicles must not be charged from our hook-ups or other electricity supply.
  5. Gas Cylinders:
    1. In accordance with the recommendations of manufacturers for touring caravans and motorhomes, gas cylinders must be located in dedicated internal storage lockers.
    2. Where it is necessary to keep a gas cylinder outside of a unit’s locker – for example where an old caravan does not have a purpose built locker – the permitted maximum size is limited to 15kg. The cylinder must be strapped securely to the unit and connected with a short proprietary hose in good condition and not be under any strain or vulnerable to strain. They must never be left unattended.
    3. The practice of using an external cylinder to feed into the caravan system via a barbeque outlet is not permitted irrespective of the size of cylinder.

Liability

  1. Nothing in our contract limits our liability for anything for which it would be illegal or unlawful for us to exclude such as:
    1. Death or personal injury caused by negligence or
    2. Fraudulent misrepresentation.
  2. We accept no liability for delay or cancellation of your holiday or anything else which adversely affects it which are outside of our control, including but not limited to:
    1. Floods, storm, fire and other natural disasters
    2. Pandemic, Epidemic and other outbreaks of disease that affects people or animals (e.g. Foot and Mouth, Bird Flu etc)
    3. Any government law, direction, action or advice or that of any lawful national or local authority.
    4. Wild animals, vermin or farm animals. We will of course do our best to mitigate such problems but will not be liable to you for any losses as a result. If we have to cancel your holiday before it commences as a result of such events we will offer a full refund or a rebooking. In the case of a rebooking, if you book at a higher seasonal tariff you will be required to pay the difference. If we have to cancel your holiday after it has commenced, under such circumstances, we will refund the unused part.
  3. No liability is accepted for any losses incurred if the accommodation is used for business or commercial purposes. As per C (ii) this accommodation is for personal use only.
  4. Broadband is provided on a complimentary and best endeavours basis. We cannot guarantee its effectiveness, speed or coverage which can be subject to weather and other environmental conditions. If the broadband is abused or is used for illegal purposes, such information in our possession and logged on our systems, subsequently requested by any legal authority will be supplied on receipt of a suitable legal order.
  5. We are not liable for loss or damage however caused of your personal possessions while you are on our site or using our camping/caravanning facilities or hiring one of our Lodges. We encourage you to have sufficient cover under your travel or home insurance policies to cover any losses you might incur during your stay.

 
Complaints

  1. If you have cause to complain, in the first instance please notify our Reception Team using the above contact details so we can address it as quickly as possible. If you feel we have failed to address it satisfactorily please email or write to us within 14 days detailing your complaint.
